Position: Full-Time Scheduler/People Coordinator
The Scheduler/People Coordinator is a pivotal role within our organization, acting as the heartbeat for all scheduling logistics and people-related support. This role ensures seamless client care coverage and provides a positive, supportive experience for our caregivers.
Key Responsibilities
Scheduling and Logistics
- Manage the master schedule for all clients and caregivers, ensuring appropriate staffing levels and timely client visit coverage.
- Match clients with compatible caregivers based on skills, abilities, personality, and location.
- Resolve last-minute scheduling changes, call-outs, and emergencies with speed and efficiency.
- Have a strong financial stewardship mindset by proactively minimizing caregiver overtime and be conscience of mileage reimbursement costs
- Utilize scheduling software ( AlayaCare) to maintain accurate records of visits, changes, and authorizations.
- Communicate scheduling details, changes, and service interruptions clearly and promptly to clients, caregivers, and management.
People Coordination and Support
- Serve as the primary point of contact for caregiver inquiries, scheduling conflicts, and general administrative support.
- Assist in the onboarding process for new caregivers, including orientation logistics and documentation review.
- Monitor caregiver compliance with training, certifications, and required documentation.
- Support the company culture with caregiver appreciation initiatives and communication efforts to foster a positive work environment.
- Track caregiver time-off requests, availability, and performance notes related to scheduling reliability.
Qualifications
Required:
- Minimum 2 years of scheduling and logistics experience in a Home Care, Home Health, or similar medical care setting; experience being a caregiver is also preferred.
- Exceptional organizational with strong attention to detail and ability to multi-task.
- Proficiency in Electronic Scheduling Systems; direct experience with Alayacare preferred.
- Proficiency in using business communication and productivity tools (email and chat) on both a computer and mobile device; experience with Google Business Suite preferred.
- Strong verbal and written communication skills; proficient in English.
- Proven ability to work effectively in a fast-paced environment and manage multiple priorities simultaneously.
- Dependable transportation and valid Texas Drivers License
- Ability to work in an office environment sitting at a desk
- Flexibility in work schedule when needed.

Preferred
- Experience in the home health, home care, or healthcare industry.
- Familiarity with local communities Granbury, Weatherford and surrounding areas.
- Experience using electronic scheduling systems. (Alyacare experience a plus)
